Data Center Relocation and Professional Mover Checklists

Exponential data growth is a critical challenge for the IT industry. Every day, organizations face the daunting task of migrating or relocating their data centers. Companies might need to plan for a data center relocation because of potential cost savings, the need for more physical space, and security/compliance issues. Whatever the reasons, data center relocation is a high-risk operation and a big effort to tackle.

How To Choose A Professional Data Center Moving Team

Hiring professional movers for data center migrations isn’t like hiring residential or warehouse movers. Though you may come across some warehouse moving teams that claim they can help with data center relocations and migrations, contracting with a company that doesn’t specialize in moving servers and other sensitive IT equipment may not result in a good experience. 

One reason is because general movers don’t know how to safely disconnect and reconnect your servers and other devices. Another reason is that their moving equipment—usually warehouse lifts and hand carts—is not designed to move your sensitive, expensive hardware. 

To ensure the process of moving to a new data center is smooth and painless, you can use the following checklist to help you evaluate whether a potential moving company will adequately meet your needs. 

Data Center Moving Company “Must Haves”

  • They only use server-handling devices created specifically for use in data centers. If the moving company tells you they don’t have a data center lift, but they’re very careful with the forklift, find another moving company. 
  • They have a project manager (or a whole team) who will help your team plan the logistics and strategy of the move. This manager or team should understand your system dependencies and plan an efficient way to move your equipment with minimal downtime and potential issues. 
  • The company should be able to assist you in mapping out all your cables and connecting ports, before and after the move, to ensure everything gets set up in exactly the same configuration. 
  • Movers will tag and label all equipment, including cables, and create a list that can be checked after the move is complete. 
  • The workers who will be handling your hardware have experience moving servers and understand how to keep each component safe and stable throughout the journey.
  • The moving company will not mind you watching to make sure each component is packed safely in shock-proof, anti-humidity, and static-reducing packaging.
  • All vans and trucks will have climate control and a soft ride. Planes and ships, if involved, will also have climate-controlled cargo options. 
  • Transportation vehicles are ideally unmarked to avoid drawing unwanted attention. Marked moving vehicles may present a security risk. 
  • The moving company understands that two workers must be present at all times to ensure data security. At no point will one person be the sole link in the chain of command, and your equipment will never be left alone. 
  • The moving company guarantees that all your equipment will boot up and operate in the same working order as it did before the move. If there is any damage, the moving company will repair it, replace it, or reimburse you. Inquire about insurance and other protection plans before signing any contracts.
  • The moving company can help you properly dispose of some of your old equipment. If you choose to dispose of some of your old equipment while you have the moving team on hand, the moving company may be able to help you erase your data and recycle, sell, or destroy your devices.

Once you’ve found a data center moving company you’re comfortable with, it’s time to dig into the details.

While all data center migration projects require some custom decisions based on the needs of your company, there are standard best practices that will make migration or relocation easier. This checklist includes important aspects that should be considered before the move:

Checklist For Data Center Moves

1. Project Planning

  • For large moves, choose an experienced, certified, and insured moving company with data center experience.

Skillful coordination and cross-device collaboration will minimize potential difficulties that could arise. Utilizing a specialized consultant or migration coordinator for the project can help your team avoid common pitfalls.
